Job Description
Our client, Top Tier Investment Advisory firm based in NY with AUM projected at 3 Billion in 2025 is seeking a top tier Office Administrator/Office Manger to join their growing firm. They are a driven, focused, highly collaboratively goal oriented team that strives for best-class business practices across the firm.
This hands on and detail-oriented person will be the go-to-person in the office.
- Base salary 130k plus generous Bonus

Responsibilities:- Negotiate with vendors, ensure pricing and timely renewals and competitive service
- Maintain detailed calendar of company events/meetings
- Manage proxy voting, soliciting votes and maintaining votes
- Manage compliance system, including personal trading and holdings review, annual compliance affirmations for firm
- Manage new employee onboarding and terminations, coordinating with HR and IT service providers
- Order supplies for office, including daily lunch, office supplies, maintain inventories of supplies
- Manage expenses and reconcile credit card bills, maintain payable reports and ensure all are paid on a timely basis
- Liaise with satellite offices to ensure bills are paid, supplies are ordered, and IT is working properly
- Coordinate with travel agents to book and modify travel arrangements for team ensuring compliance with company guidelines, prepare T&E reports
- Set-up and coordinate internal and external company meetings
- Serve visitors by greeting, welcoming, and directing to appropriate personnel
- Assist Founding Partner and Executive team as necessary with ad-hoc administrative duties and projects
Required Qualifications:- Candidate should have undergraduate degree with 5+ years of experience, preferable in financial services
- Team player, able to collaborate and coordinate with team members
- Highly organized with strong writing skills, and MS Office proficiency
